The personal information you provide by the use of this website is managed by The Connection at St Martin’s. We understand the value we all put on our personal data, which is why we’re careful to protect the information we hold and ensure we only process the data we need. Below is the explanation about what information we’re collecting, why we do this, and how we use it.
How we use your data when you sign up to our newsletter:
When you sign up, we will ask for your name and email address.
We will use it to send you our quarterly email newsletter once you have signed up.
We will not sell your data to any other organisations. It will be shared with Mailchimp for the sole purpose of managing our mailing lists and may be accessed by our IT support provider, Silverbug, when we receive technical support.
You can unsubscribe at any time by clicking the ‘unsubscribe’ link at the bottom of the emails, after which we will not send any further communication.
We will, however, keep a record of your preference so we can comply with our legal obligations under the Data Protection Act 2018.
Please note that your personal data may still be held in another database by The Connection at St Martin’s if you have another relationship with them, such as donor or volunteer.
Our lawful basis for processing your information
Consent – we rely on your consent for sending you the newsletter.
Legitimate interest – for administrative use of your information (e.g. processing of mailing lists)
Data retention:
We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements, and in accordance with our data retention policy.
To determine the appropriate retention period for personal information, we consider the amount, nature, and sensitivity of the information, the potential risk of harm from unauthorised use or disclosure of your personal information, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.
Our default retention periods may be extended or reduced if we deem it necessary, for example, to defend legal proceedings or if there is an on-going investigation relating to the information.
We review the personal data (and the categories of personal data) we hold on a regular basis to ensure the data we are holding is still required and is accurate. If we discover that certain data we are holding is no longer necessary or accurate, we will take steps to correct or delete the data.
Your data rights:
Under certain circumstances, by law you have the right to:
- Request access to your personal information (commonly known as a “data subject access request”). This enables you to receive a copy of the personal information we hold about you and to check that we are lawfully processing it.
- Ask us to correct personal information that we hold about you which is incorrect, incomplete or inaccurate.
- Ask us to erase your personal information from our files and systems where there is no good reason for us continuing to hold it.
- Object to us using your personal information to further our legitimate interests (or those of a third party) or where we are using your personal information for direct marketing purposes.
